    Suitable vs Unsuitable

At Cloudficient, we categorize data into suitable and unsuitable for migration to Microsoft 365.

    Suitable Data

This data can be directly mapped to a user in Microsoft 365 – such as mailbox data, PST files that belong to a user, or a user archive in an on-premises or cloud archive.

    Unsuitable Data

Journal email data migrated to M365 may lose critical metadata needed for targeted, custodian-based management, making it 'unsuitable' for direct migration into M365.

    Suitable Data

Suitable data that maps easily to a user in Microsoft 365 can be handled by our next generation migration solutions:

    Unsuitable Data

Unsuitable data needs a different approach when migrating to the cloud. Traditionally archive migration vendors have favored journal explosion or journal splitting.

Why Journal Splitting or Journal Explosion Are Poor Solutions

Journal Explosion recreates all the emails to all the original message recipients as the data is migrated. This multiplies the data volumes significantly and requires more time to create and transfer so many copies to the cloud than normally anticipated.

Journal Splitting involves transferring the data to hundreds or even thousands of shared mailboxes.

    The problems continue:

Inefficiencies of transferring the same data dozens or hundreds of times.

Duplicate data across many end-user mailboxes.

Mailboxes relating to recipients who no longer exist need to be recreated.

      Executing legal holds is complex.

Microsoft 365 alone sometimes struggles to efficiently search a large number of mailboxes.

      Search accuracy is affected.

Data is often over-retained because it’s unclear when it can be expired.

Complicated legal review process as all mailboxes need to be targeted for every case.

Traditionally archive migration vendors have dealt with legacy journal archives by performing either journal splitting or journal explosion – neither of which give the best experience for users, or legal teams. Find out more in our video.
