Case Study: 2 PB Enterprise Vault Migration To The Cloud!

    Executive Summary

This case study outlines the migration of 2 petabytes (PB) of Enterprise Vault archive data from a North American financial services organization to Microsoft 365, facilitated by Cloudficient’s EVComplete. The project was driven by the need to decommission multiple data centers, meet strict regulatory compliance requirements, and maintain operational continuity for the company’s 75,000 employees.

The challenges were significant: the scale of data, coupled with stringent compliance standards mandated by FINRA and SEC, required a highly tailored migration approach. Moreover, the financial sector’s need for robust data retention policies and uninterrupted legal holds added layers of complexity. Cloudficient’s solution ensured a seamless migration, with workflows designed to address their retention and compliance intricacies.

Key outcomes included the successful migration of their data at unprecedented speeds, enabling the organization to achieve its data center exit objectives ahead of schedule. The transition eliminated legacy system costs, enhanced compliance capabilities, and maintained business continuity.

    The Challenges

    Project Duration

For an enterprise-scale migration of approximately 2 petabytes of data, the project duration becomes a critical challenge. Migrating this massive volume of data within a reasonable timeframe requires a highly efficient and reliable data transfer infrastructure, as well as extensive planning to avoid disruptions to business operations.

The sheer scale of data transfer, combined with the complexity of financial data with high sensitivity, means that any downtime or delay can have significant operational and financial impacts.

Additionally, large financial institutions operate under strict regulatory requirements and tight schedules, which further constrain the available time window for the migration.

Ensuring a seamless transition without business disruption or data loss while meeting the targeted timelines requires the most advanced technologies in a data migration platform.

    Data Center Exits

With a need to decommission multiple data centers across North America, a rapid and smooth migration becomes essential. These data centers, which may house thousands of servers and complex legacy systems, are likely to contain critical information that supports various financial operations.

Planning an exit strategy involves a detailed analysis of the data's physical and logical location, dependencies, and migration path to the new environment. Timely data center decommissioning also means that data integrity and accessibility must be maintained during the transition, with minimal downtime and risk of data loss. Additionally, since data centers are integral to compliance requirements, any misstep in the decommissioning process can lead to regulatory complications.

The migration of the legacy archive data from Enterprise Vault was just part of the overall challenge that this customer had. Balancing the logistics of physical relocation, data integrity, and tight schedules to meet exit deadlines presented a formidable challenge.

    KEY TAKEAWAY

An experienced migration team is a must when it comes to performing a large scale data migration in a short timeframe.

    Cloudficient Solution

Cloudficient implemented a comprehensive migration strategy using EVComplete, built on the ReMAD Platform.

    Proof of Concept

During a no-cost / no commitment Proof of Concept (PoC), Cloudficient was able to optimize the overall migration workflow to ensure that the retention strategy requirements were met for each archive that was moved from Enterprise Vault to Microsoft 365.

The overall performance of the PoC far exceeded the expectations of the customer. This gave them a high level of confidence to move into production where even further performance improvements were observed.

    Complexity Handled

Of course, in a highly regulated industry like the financial services sector additional complexity is introduced because of data retention, eDiscovery, and compliance requirements.

Cloudficient EVComplete, with its robust workflow orchestration engine, was easily able to assist with many additional tasks that needed to be performed along with the data migration itself. These tasks include removing shortcuts from the users mailbox, sending user communication at various stages of the migration and even disabling the Enterprise Vault Outlook Add-in after the migration.

    Very Large Dataset

With the cloud-native approach of Cloudficient EVComplete, projects require minimal on-premise infrastructure and benefit from massive back-end scale that easily accommodate very large projects like this one.

Given the size of the dataset both in terms of number of archives and overall amount of data to be migrated, the expert services delivery team was able to handle the migration in record time. The customer was kept fully up to date and could review the overall progress at-a-glance in a high level dashboard.

    Aggressive Timeframe

With such a large amount of data to migrate, the customer was initially concerned with how long the data migration would take. However, once our solution was fully deployed the impressive speeds seen during the PoC were far exceeded with sustained speeds of 25 Tb per day and peak speeds of over 50 Tb per day being achieved.

This meant that Cloudficient EVComplete had migrated over 1 PB of data in less than 3 months from Enterprise Vault to Microsoft 365 – putting the project on a firm path to success, and making the customer extremely happy.
