Smarter Onboarding to O365
As Office 365 has become the de facto standard for corporations, many associated on‐premises systems have become obsolete for numerous customers. A good example are legacy email archiving systems such as Veritas Enterprise Vault or EMC SourceOne. Industry experts expect that in the next 2‐3 years, most customers will abandon their on‐premises archiving systems and move the content to the cloud.
Onboarding to Office 365 has become easier in the last couple of years, but it’s still a challenge as each customer usually has individual project requirements. This is even more relevant when it comes to coordinating the migration of email archives as part of the overall onboarding process. This is essential as it is the only way to ensure a transparent transition experience for the end users.
So far, both onboarding tasks and archive migrations have been done using a lot of consultancy/professional service resources to not only adopt the onboarding best‐practices for the customer but also to execute recurring tasks manually. This is not the most effective use of expensive labor resources and lowers the efficiency of project resources.
Smarter Onboarding Required?
Onboarding users to Office 365 especially when migrating legacy archives in parallel, requires the execution of many single steps. These can be best visualized in a sequential workflow as illustrated in the example below. The (simple) Onboarding “Workflow” starts in the with a change of the Enterprise Vault policy for a user 7 days before the real onboarding to O365 occurs and ends 60 days after the last workflow step of the onboarding process with the deletion of the legacy archive.
Unfortunately, every customer and project has its unique requirements, due to the individual way companies envision user experience during onboarding and technical requirements. Technically speaking, the selected steps within a workflow and their order will be different for each individual project.
I strongly believe, that automating this workflow, end-to-end, provides a shorter total project time, less required people-resources and a better end user experience
